Functional Summary
This position plays a critical role in the organization’s efforts to secure the resources needed to advance our mission and achieve our programmatic goals. The Grants Program Coordinator will serve as the crucial link between our organization and donors, ensuring timely and accurate submission of compliance documents, proposals, and reports. The position will be responsible for identifying funding opportunities, facilitating the proposal development process, and maintaining a central information system with up-to-date organizational data. This role involves coordinating with various departments & field units to monitor grant progress, providing regular updates to management, and ensuring the proper utilization of funds. The main responsibility of the position is to ensure that grantmaking agencies and donors have seamless experience through the project formulation and implementation process.
Specific Job Functions:
1. Liaison and Coordination:
  • Act as the main contact between the organization and donors/funders.
  • Organize periodic meetings with departments to identify resource needs and opportunities.
2. Documentation and Compliance:
  • Ensure timely submission of compliance documents and complete due diligence with donors.
  • Monitor and manage grant-related paperwork and documentation.
3. Proposal Development and Submission:
  • Facilitate the proposal development process, coordinating with program teams or external writers.
  • Ensure proposals meet all legal, compliance, and programmatic requirements specified by donors.
4. Funding Opportunities and Research:
  • Research and identify authentic funding opportunities aligned with the organization’s mission and values.
  • Keep informed about funding trends, priorities, and submission processes of grant-making agencies.
5. Information Management:
  • Develop and maintain a central information management system with up-to-date organizational data.
  • Ensure readiness of accurate statutory, financial, and programmatic information for potential funders.
6. Grant Monitoring and Reporting:
  • Track progress of submitted proposals and follow up as required.
  • Coordinate with relevant units to gather updates on grant progress and ensure timely submission of financial and programmatic reports.
7. Financial Coordination:
  • Review budgetary plans with the finance department to meet donor requirements.
  • Work with finance to send invoices, fund release requests, and other necessary information to donors.
8. Grant Implementation:
  • Provide orientation to implementation units on approved grant commitments and reporting requirements.
  • Ensure proper utilization of funds through field visits and reviews.
9. Updates and Communication:
  • Provide regular updates on grant mobilization and implementation to Management and the Board.
Qualifications 
  1. Education: Master’s degree in development management, Business Administration or a related field is required. A master’s degree or additional certifications in grant writing or management is a plus.
  2. Experience: At least 5 years of experience with a proven track record in grant management & implementation, donor liaison and reporting. Demonstrated experience on proposal writing and presentation to external donors/funder
  3. Skills: Strong writing, research, and communication skills. Proficiency in using grant management software and Microsoft Office Suite.
